Email Etiquette Tips for Office

The email etiquette tips below are guidelines to help you avoid mistakes such as offending someone when you certainly didn't mean to and misunderstandings such as being offended when it was not meant to be taken that way. These guidelines will help you to send simple and easy-to-read messages also.

Here are some email etiquette tips to help you send nice, clean and simple messages and avoid mistakes and misunderstandings:

  • Always Think Twice Before Sending - No matter how big of a hurry you're in, always reread and reconsider your message before sending your emails. Read it from the recipient's perspective.
  • Always Keep Emails Short - Long emails can be very intimidating with long run-on sentences that never seem to stop. These extra problematic words have no meaning and usually end up confusing the recipient. The recipient usually ends up reading less than if the message was only 3 short sentences. That is why it is usually good to keep emails as short as possible. If you cannot keep it very short then use bullet points to make it seem shorter and to the point.
  • Write Perfect Subject Line - Your email's subject is right below your name and is the first thing the recipient sees so it's important. You have to put a subject that will pull your readers into the body of email - something they cannot resist. Keep it short, precise and to the point.
  • When in Doubt, Send Plain Text Emails, Not Fancy HTML - Not everyone wants or can receive these emails that have the fancy formatting (Bright colored stationery, images, etc.). Some email programs are not capable of rendering the HTML format in email messages. Some programs try but they fail or crash leaving your message unaccessible to the recipient. So whenever you are not sure if the recipient can receive HTML formatting just politely send the plain text format. Send a message to your email program support if you're not sure how to send plain text format messages.
  • Do Not Forward Hoaxes - Hoaxes are chain letters telling interesting stories about computer viruses, something free, new laws, etc. These all have one thing in common, they are not true. Do not forward a story unless you have inspected it yourself personally and you know it is true.
  • Be Sure You Have AntiVirus Software - Email worms and viruses are spreading via messages that are that are sent without your knowledge, and spammers use open relays established through viruses to send their junk mail through innocent computers. Keep your antivirus software current and up-to-date so you don't have to worry about getting these viruses and, even worse, spreading them to your other contacts.
