Organizing Your Vacation Bible School

Do you have your Vacation Bible School organized yet? VBS rolls around once a year where children get to participate in coming everyday for 2-5 days or more to learn about God and the Holy Bible. There is no greater outreach to children than Vacation Bible School. Here are some tips to help you organize your next VBS:
  • 1. Take a Deep Breath - If God called you to it, He will bring you through it. He will not abandon you. Get ready to work hard and trust Him.
  • 2. Pray for Wisdom - Pray for wisdom and direction for these VBS children. This might seem obvious, but so often prayer is overlooked or can be quickly placed on the backburner when tackling something as huge as VBS.
  • 3. Look at What Has Been Done in the Past - Did your church host VBS last year? If this is your first year, then see if there are similar events your church sponsored that could serve as a resource. Pull out what you can from the past, but don't reinvent the wheel. Note mistakes from the past and make sure they are a success in the future. Ask your VBS Veterans for help, and don't be afraid to ask them questions. Let them know you are leaning on them for support through VBS.
  • 4. Review VBS Forms - Pull out all of the VBS forms including the VBS Budget form that should have what the church budgeted for your VBS supplies, VBS Registration forms and any other forms that will help you get organized. A lot of these forms need to be sent out earlier on way before VBS begins. I have several of these forms free below that you can download, customize and print.
  • 5. Review and Choose VBS Curriculum - There are numerous VBS curriculum available today. Find out if your church has a preference on which kind of curriculum to use first. The theme is one of the most important parts of VBS because it gets the kids excited and attracts them to come.
  • 6. Catch the Vision - This may be your greatest opportunity to catch the attention of these children and their families in your community with the Gospel of Christ and life-changing ministries your church offers. Where else but VBS can you go and have so much fun and still make an eternal difference in children's lives.
  • 7. Get the Word Out - Please don't keep your VBS a secret from your community and expect lots of kids to show up. Create a simple plan to get the word out at least 6 to 8 weeks prior to starting date. You can hang posters everywhere, include bulletin inserts each week, church newsletters, emails, door to door, post flyers in stores, etc.
  • 8. Security - Don't leave security out of VBS. Unfortunately, churches are one of the last institutions to implement reliable procedures to protect children from individuals who might want to do them harm. It's extremely important to adopt procedures to keep the children safe throughout the week of VBS.
  • 9. Include VBS Closing Event - Having a VBS Event on the last day creates a great opportunity to meet parents and invite these family members to your church. Show these family members how much you appreciate them and they will not forget it.
  • 10. Follow Up - Be sure and send thank you notes or letters to your VBS leaders immediately after VBS is over. Without these helpers, VBS would have never happened. Contact children and their families who attended as guests within 1 to 2 weeks after VBS to re-invite them to church and thank them for letting their children attend VBS. It's easy to crash after VBS, but timing is so critical to your follow-up to let them know you want them back next year.
