Free Church Credit Card Policy (3), Request Form, Credit Card Purchase Approval Form, Credit Card User Log, Missing Receipt Form...
There are three sample policies for church credit cards below that can be a great tool to use to create your own policy for your church administrative office. We have also included the Credit Card Use Request Form to be filled out prior to using the church credit card for approval with authorized signatures. After approving the individual to use the church credit card, you would need to attach a copy of this form along with the credit card and receipt(s) to the appropriate person in your church office.
The Church Administration Credit Card Policy below includes guidelines and procedures for individuals to follow in order to use the church credit card. You can download this sample policy and use it as a sample and tool to create a policy for credit card usage in your church.
The Credit Card Use Request Form below includes:
- Amount Requested
- Card Holder's Name
- Date Requested
- Ministry
- Date Needed
- Ministry Account
- Explanation of Use
- Ministry Chairperson's Signature
- Contact Name and Number
- Church Secretary's Signature
- Church Finance Manager's Approval Signature
The Credit Card User Log below is a great tool used to log in every time the church credit card is used that includes:
- Church Credit Card Name
- Credit Card Out Date
- Transaction Description
- Transaction Amount
- Merchant Name
- Church Secretary's Initials
- Credit Card User's Initials
- Credit Card In Date
- Transaction Fees
- Balance (Does not include interest.)
When it comes to credit cards for a church, it really does not make a difference what type of credit card you decide to get; however, you might want to make a decision of whether you need a different credit limit for each individual who has access to the credit card. If you do not want this then you can leave it with all the individuals having the same credit limit as the primary account holder (person who applied for the card).
If you decide that every individual will have the same credit limit then you can apply for a General Consumer Credit Card, which you can only use for church expenses.
If you decide that every individual will have a different credit limit then you should apply for a Business Credit Card.
There are a total of three different sample Church Credit Card Policies below including several forms that you will find to be very beneficial to your church office.
The Church Credit Card Purchase Approval form below can be used when you need pre-authorization before using the card.
The Church Missing Receipt form below is used whenever someone lost their receipt for their church-related purchase.
