Having trouble doing my church running balance...

I have been the church secretary for about a year not know the correct way of doing things to make things in the church run more smoothly. The hardest thing I am having problems with is doing the running balance. Every time we have a church meeting my pastor always asks me do I have a running balance for each month of what the church is bring in and paying out and I never have it together. Somebody said all I have to do is add up what is coming in, subtract what is being paid out and I should get the number of what should be deposited into the bank. When I did it, I was off from the correct figures. Can you please help me so I can get it in to him before the end of the year. •Maintaining an annual report of the congregations in a form that will summarize the information for availability at any given time. I did it last year for the first time and screwed it all up and it was embarrassing. Please Help.
